01. General Terms & Conditions
- Every traveler must submit a copy of a valid government-issued photo ID (Voter ID / Passport / Driving License) along with passport-size photographs at least 10 days before departure for permit processing where required.
- Guests are advised to carry the same ID proof throughout the journey.
- Booking confirmation is subject to full payment before the scheduled departure date.
- Tour itineraries may change due to weather conditions, road closures, government regulations, strikes, landslides, or any unforeseen circumstances.
- Hoodophiles shall not be held responsible for delays, cancellations, route changes, or service interruptions caused by natural or unavoidable events.
- No travel insurance is included unless specifically mentioned in the package. Guests are advised to arrange personal insurance for accidents, medical emergencies, baggage loss, etc.
- Smoking, tobacco, and prohibited items must follow local destination rules and regulations.
- Certain border and restricted zones may close without prior notice for security or weather reasons. No refund will apply for unused services in such cases.
- Additional costs arising due to landslides, roadblocks, flight/train delays, or route diversions must be borne by the traveler.
02. Child Policy
- Children below 5 years may stay complimentary without separate bed/seat unless otherwise specified.
- Children aged 5 to 10 years without extra bed will be charged as CNB (Child No Bed).
- Children aged 5 to 10 years with extra bed will be charged as CWB (Child With Bed).
- Children above 10 years will be charged as an adult.
- Valid age proof for children is mandatory at check-in and during travel.
03. Cancellation Policy
- Minimum cancellation charge: ₹1,000 per person.
- Cancellation charges based on total package cost:

- Refund processing timelines depend on banking/payment gateway procedures.
04. Vehicle Policy
- Vehicles are provided as per package type and availability.
- Small cars (WagonR / Alto / similar) for 1–3 guests.
- Sumo / Maxx / similar vehicles for 4–8 guests.
- Innova / Scorpio / Xylo / similar for up to 6 guests.
- Local sightseeing may require separate local taxis as per regional transport rules.
- Luxury vehicle requests are subject to availability. Similar category alternatives may be arranged if unavailable.
- Excess luggage requiring an additional vehicle will be chargeable to guests.
- Guests are advised to travel with limited baggage for comfort and convenience.
05. Transport Information
- Pickup assistance will be provided at railway stations / airports as per booking details.
- Guests are requested to maintain patience during peak season delays, traffic congestion, or permit formalities.
- Due to local parking restrictions, pickups/drop-offs may happen from designated taxi stands or nearby points.
- Vehicles may change for different routes/sectors during the journey.
- Guests must check belongings before leaving the vehicle. Hoodophiles is not responsible for lost items.
- Any sightseeing changes must be informed in advance. Missed sightseeing due to late reporting may not be refundable.
06. Special Permits
- Some destinations such as Tsomgo Lake, Nathula Pass, North Sikkim, border zones, or protected areas require special permits.
- Guests must submit valid ID proof and photographs on time for processing.
- Permit approval depends entirely on government authorities and weather/security conditions.
- Permit fees, if applicable, may be extra unless included in the package.
